Overview: Case Folders and Files

In Administration, case folders provide a place to organize information (files or specific records of the case) to assist with case reviews.

As shown in the figure below, some folders are under the jurisdiction of the administrator, while others are maintained by users.

Case files provided by the administrator include case alerts, instructions, and other documents related to the case (non-discovery documents). Case files can be any appropriate format, such as Microsoft Word, plain text, or PDF.

This topic provides an overview of case folders and explains the administrative procedures for providing case documents.

Case Alerts, Case/Batch Instructions, and Non-Discovery Folders

The folders containing files that you (the administrator) will create and manage for reviewers and users include:

  • Case Alerts

  • Case and Batch Instructions

  • Non-Discovery Documents

These folders are explained in the following table. This table lists an intended use for each type of file, but you may prefer to expand the use. In any case, it is important for you to communicate to reviewers what they can expect to find in these folders and when they should check them for information.

Case Alerts

Intended as ongoing notifications to reviewers about cases. For example, an alert might be created notifying reviewers that instructions for a particular case have changed.

Case Instructions

Intended to include the procedures and information needed for reviewers to work through a case.

Batch Instructions

Batch instructions: Intended to provide details specific to a particular review pass. For example, tagging criteria and guidelines, redaction information, whether reviewer is working with documents or pages in a document, and so forth.

Non-Discovery and Case Documents

Other documents: Any documents pertinent to a case that are not discovery documents can be provided to assist users. For example, exhibits or legal briefs.

The files included in these folders can be any type, such as Microsoft Word, text, or PDF, as long as the program resides on the users’ computers.

Important: Files comprising case alerts, instructions, and non-discovery documents need to be placed in a network location(s) accessible by all Review users. The location is maintained by Administration as a fully qualified UNC path(s), but not in the LOCAL DISCOVERY database (as case documents are).

Journal, Private, and Smart Folders

The Journal, Private, and Smart Folders are used by reviewers when working in a Review on a case.

Journal Folder

The Journal folder is a location in which reviewers can create notes for themselves using a simple text editor. See the Overview: Journals section in Review for details. Journal files are saved as .JNL files. Journal files are saved to a location of the user’s choice. The location is maintained by Administration as a fully qualified UNC path, but not stored in the LOCAL DISCOVERY database (as case documents are).

Private and Smart Folders

Folders in which users can place records (actually, “pointers” to specific records) include the Private and Smart Folders. See the Add, Edit, or Delete a Smart Folder topic or the Add, Edit, or Delete Private Folders and Records topic for details on working with these folders.

Transcripts Folder

The Transcripts folder is located in the Case Folders tab of Review. Transcripts that have been added to the case are accessible from this folder.
