Exporting
IPRO Search lets you export the contents of an entire , as well as specific search tabs and selected messages within . You can export to various outputs, depending on what data sources you are exporting from:
- XML (email) only: Export to PDF, PST, CSV, 7ZIP, ZIP, Location
- XML and files: Export to CSV, 7ZIP, ZIP
- Files only: Export to CSV, 7ZIP, ZIP
The server that is exporting must have Outlook 32-bit installed. If Outlook 32-bit is not installed directly on the server, the export will fail.
If a PST file exceeds 20 GB, a new PST file will be created. You can export multiple accounts to a single PST.
To view exported content in PDF format, you must have a PDF reader installed on your computer. If any attachments cannot be rendered, a list of those attachments is included in the PDF file.
The files created by exporting messages are stored in the same location in which the Management information is stored. Therefore, the more exports you perform, the more data will be stored in that location. However, you can delete exported files to free up space.
There are several steps involved with exporting:
You can also skip items that have certain tags:
- After performing the necessary searches, select one or more items to export from the Document view.
- In the Overview toolbar, click Export > New Export.

In order to export items, you must be its owner. - The Export Wizard displays.
- Select items to export. You can export all items or selected items only. Also, you can skip the export of items that contain a specific tag. Specify which version(s) of the selected item(s) you would like to export. Click Next.
- Select the type of PDF export to perform:
- One single PDF: Creates a single PDF file for all the items you are exporting. Note that if the PDF file exceeds 64 MB, a new PDF file will be created. You can export multiple documents into a single PDF.
- Click Next.
- Select optional information to include in your export.
- Email attachments: Includes any email attachments appended to the message
- Search criteria: Includes any search criteria or filters that were used to filter the data. If multiple tabs were selected for export, then the search criteria for each tab is included.
- Audit file information:Includes the history of the archived item, such as when it was archived, viewed, printed, and so on.
- Email metadata:Includes the properties of the Email, such as the sender, recipient, (creation) date and time, subject, attachments, size, and so on.
- IM metadata: Includes the properties of the Instant Message, such as the sender, recipient, (creation) date and time, subject, attachments, size, and so on. Additional metadata collected includes: read receipts; who is joining and leaving the chat, channel, or group; the start and end time of chat or channel calls; if the IM is sent from automated workflows or bots; the data required for AI classification
- Page header/footer:Includes a header containing the name of the case and search tab, as well as a footer containing the page number on every page in the PDF file.
- Highlight search terms: Includes a header containing the name of the case and search tab, as well as a footer containing the page number on every page in the PDF file.
- Click Next.
- Do the following:
- Enter a name for the export.
- Select the Send an email once the export is complete option if you want to receive a notification once the export job is complete. By default, the email address entered is that of the manager who is logged in on the current IPRO Search session.
- Select the Set max file size for Export option if you want to split the export job according to a specified file size. Enter the maximum file size or and choose GB, MB, or KB from the drop-down selection.
- Select the Password-protect zip files option if you want the export job to produce password-protected PDF and zip (for multiple PDF) files. Enter and verify a password.

NOTE
If you opt for password protection, the .zip export will be encrypted but the file and folder structure of the .zip file will remain visible. A password will be requested when opening the individual files. - In Choose Export Compression Format, select the desired export compression file format (7ZIP or ZIP).
- Click Finish to submit your export job.
- The List of Exports window opens, displaying a list of all the export jobs that are running or that have been run for the current manager and . The window refreshes itself automatically to update the progress of the export. The larger the export, the longer it takes to process the data.

NOTE
While the export is in progress, you can close the List of Exports window or even log out of IPRO Search. You can always reopen the window at any time by clicking Export > Export Management. -
IMPORTANT
If you are logging back in to IPRO Search, make sure to log in as the same case manager and load the same case from which the export was executed. - When the export is successfully completed, the List of Exports window will show 100% in the Progress column.
- If you selected the option to send an email notification when the export is completed, then the notification email will be sent to the specified recipient. This email contains the job summary and error reports, as well as a prompt to log in to IPRO Search to retrieve the report.
- To view information about the export, click Details next to your export job.
- The Export Details window opens. If you selected the Export multiple PDF files option, then a .zip file is also produced. It contains individual PDF files for each exported message. Each PDF file includes the email message, along with the message’s attachments (if any) and metadata (if any). There is also a PDF file containing an error report, which included only if some attachments could not be rendered during the export.
- A header PDF file contains a summary of all the export options you chose: export name, case name, export date, export type, package size, and whether or not you chose to include attachments, search criteria, audit file information, mail metadata, or an email notification. This PDF also includes any folders and filters you applied to each Search tab included in the export.
- Double-click on the .zip or PDF file to open it. You have the option of opening or saving the .zip file
- Zip File: The folder contains all the PDF files of the exported messages. The files have simple, sequential names, reflecting the order in which the files were created. If you chose to password protect the .zip file, enter your password and click OK.
- PDF File: If you chose to password protect the PDF, enter your password and click OK.
- The PDF file opens. You can save the file by clicking the Save icon.
- After performing the necessary searches, select one or more items to export from the Document view.
- In the Overview toolbar, click Export > New Export.

Each includes any optional message information you selected. You can export multiple accounts to a single PST.

To open the header PDF file, double-click the file name to open it in a new tab or window of your web browser. The PST files can be opened using the Microsoft Outlook client. Simply select File > Open from the Outlook client menu and locate the PST file(s) created by the export.
Outlook creates a folder representing the PST file and lists the subfolders and exported items within those folders. Standard Outlook client search functions can be used to search a PST file for any particular information you want to find.
- Double-click on the .zip or PDF file to open it. You have the option of opening or saving the .zip file
- Zip File: The folder contains all the PDF files of the exported messages. The files have simple, sequential names, reflecting the order in which the files were created. If you chose to password protect the .zip file, enter your password and click OK.
- PDF File: If you chose to password protect the PDF, enter your password and click OK.
- The PDF file opens.
Common Issues When Exporting to PST
Many times an export to PST will result in one of the following errors regarding Outlook:
- Error exporting to PST, make sure Outlook is installed on the Archive nodes.
- Error exporting to PST (could not initialize PST store because Outlook is not installed on this node).
As indicated on the export job, Outlook is required to be on the server(s) executing the job. However, you may still encounter Outlook errors. Here are some possible ones:

If your IPRO system has multiple archive servers but not all of them have Outlook, the job may have been dispatched to one of the nodes without. Ask your IPRO administrator to restrict where PST jobs can run. In ARCHIVE, select Archiving > Export and exclude the Export agent from the nodes that do not have Outlook. |
A conflicting software is installed with Outlook |
Many times this error occurs when Microsoft Messaging API & Collaboration Data Objects is installed on the Archive servers. Make sure this is not installed on the server doing the exports. You can uninstall it via Programs and Features in the Control Panel. |
