Introduction to eCapture QC
The QC Module (QC.exe) is included
with eCapture. By using the QC module, you can QC documents and Jobs. During QC, you, and other members of the QC team, can:
-
Validate processed data in batches, as appropriate for your skill level
-
Review documents that were flagged for further attention when data was processed into the eCapture system.
-
Flag documents by using custom flags that the system administrator adds to the QC module.
Overview: QC Review Process
During the QC process, users responsible for quality checking documents navigate through the documents in the Documents List window. When a document has a potential issue and requires further review, in the Flags window, one or more flags then display a red shaded box that indicates the document was “flagged” by the system as the data was being processed. Some examples of system-assigned flags include:
-
Text Missing: The document contains pages with no extracted text.
-
ZeroByte: The file contains no data.
-
Unprocessable: Items that could not be extracted from .ZIP files, email messages, and so on.
To view a list of the default flags that are available in the QC module, see Work with the QC Flags Window.
During the QC process, reviews can also "Flag" a document/page. In doing so, the reviewer is assigning a condition to that document/page. Some examples of user-assigned flags include:
- Passed QC
- Low Priority
- Medium Priority
- High Priority
The QC process can be done on both complete or incomplete Processing Jobs
and Data Extract Jobs.

Note: The QC Module (QC.exe) is supplied with eCapture and is installed into the eCapture Program Files directory.

eCapture Document and Case (Project) - Level QC Tasks
Using
the eCapture QC module, administrators configure the system and reviewers can perform both document-level tasks and case(project ) - level tasks. The following diagrams outline some of the tasks that reviewers and administrators can perform in the QC module.
Administrator Tasks
Most tasks QC administrators perform are either configuration tasks or Job or Case (Project) Level tasks. The following diagram is an overview of the most common tasks performed by QC administrators but is not a complete list of QC administrator tasks.
QC Reviewer Tasks
Most tasks that QC reviewers perform are either on individual documents or Job-level tasks. The following diagram is an overview of the most common tasks performed by QC reviewers but is not a complete list of QC reviewer tasks.
|
Note: eCapture allows you to reprocess simultaneously from multiple Terminal
Services sessions. You should reprocess only one restricted document at a time, system-wide.
|
eCapture QC Environment
The following sections outline each of the various areas of the eCapture QC user interface and provide links to topics related to the specific tasks performed in the application.
The QC window and layout of tabs and work areas is flexible and can be changed to meet your requirements. You can:
- Split tabbed windows into
multiple windows
- Auto-hide windows
- Move windows around the desktop
or to a secondary monitor.
After you create a desired layout that you would like to use repeatedly or share with other QC users, you can save the layout to an .INI file and reload it later or share it with the other users. You can also
restore the default layout without losing your saved layout(s).
For more information about working with the QC window and layouts, see Save the QC Interface Layout.
The Image View area has three tabs: Image, Thumbnails, and View.
Image Tab
The Image tab shows the output from the file
processing. Some of the tasks you can complete on the Image tab include:
- Fit the image in the window
- Rotate the image
- Zoom in/out on the image
- OCR the current page
- Decrease the image quality
Click here to view a table that describes each of the buttons available on the Image tab.
|
Fit the image normally;
scroll bars may appear.
|
|
Fit the image horizontally
in the Image area. If the Image area is widened, then a scroll
bar will display to the right of the image so you can scroll
up or down to view the top or bottom of the image.
|

|
Note: OCR functionality
is not available for Cloud Imaging Jobs. Hold down CTRL and click
this icon to force OCR of all pages in the selected document.
|
Documents (images and PDFs) may be OCRed
in Processing Jobs only.
For Streaming Imaging Jobs (as of version
2017.3.8), newly generated OCRed text is automatically loaded
into Ipro Eclipse.
|
Note: If any text already exists for any
pages in a selected document set, the existing text is overwritten.
|
To OCR a group of non-contiguous documents,
CTRL-click each document in the list to select them. Each selected
document is highlighted.
To OCR a group of contiguous documents,
click the first document in the list and then SHIFT-click another
document in the list. These two documents, along with the documents
that are located between them, will be OCRed. All documents in
this contiguous group are highlighted.
During OCR, a Progress dialog box appears.
If the job is canceled, a prompt displays
to indicate that OCR was aborted by the user.
|
|
By default, the image display
is high quality. Clicking this icon renders each image low quality,
thereby increasing the speed at which you can navigate through
each item in the list.

Merge Jobs drop-down
menu
|
This drop-down menu contains
a list of all Merge Jobs, by name, that exist within the scope
of the session of selected jobs/documents and that comply with
the Merge Jobs settings in the QC Options dialog box. For Processing
Jobs, the drop-down menu displays in the Image tab. For Data Extract
Jobs, the drop-down menu displays in the View tab. See Set Merge Job Options. When a Merge Job is selected
from this drop-down menu, the associated image for that page from
the Merge Job is displayed in the Image tab or View tab. Any associated
page-level text displays in the Extracted Text/OCR pane if
it exists; otherwise, the pane will be blank.
|
Select
Order
|
Click this link to display
the Merge Jobs Sort Order dialog box. In this dialog box, do the following:
-
On the drop-down
menu, select the order (Date, Ascending; Date, Descending
(default); Name, Ascending; Name, Descending; Custom - use
the up/down arrows) that Merge Jobs display on the Merge Jobs drop-down
menu in the Image tab or View tab.
-
Clear one
or more Merge Jobs. By default, all Merge Jobs are selected.
The “Original” item refers to the original images and text
associated with the document. It will always remain last in
the list of Merge Jobs and remain selected.
-
Select the
option Set as Session Default (current QC session only). By
default, this option is not selected.
|
Thumbnails Tab
The Thumbnails tab window allows you to view thumbnail-sized images of documents shown in the Documents pane. This is particularly useful for multi-page documents.
For more information, see Work with the Thumbnails Tab Window.
View Tab
The View tab displays the document image. There are no additional options on the View tab.
For a Data Extract Job, only the View tab appears.
For more information, see Work with the View Tab Window.
The Documents window allows for multiple Processing Job and/or
Data Extract Job sessions. Each session is defined by selecting categories
and flag conditions (Passed QC, Exceptions, and so on). The right-context menu options in
the Documents window allow you to:
-
Create an Export Set. For more information, see Create an Export Set.
-
Search through the current session, Job, Custodian
or Case (Project). For more information, see Conduct a Session Search.
-
Refine an existing search. See Conduct a Session Search.
-
Sort two or more column fields. For more information, see Modify Columns and Column Fields in the Documents Window.
-
Run a query on the selected item’s column field (e.g.,
author) and select from: Equals to, Does Not Equal, Contains, or Does
Not Contain. The system then returns all the documents that match the
selected criteria. In addition, an Advanced Search can be conducted
where you can further narrow a search. For more information, see Conduct a Session Search.
-
Set or clear a flag for all selected items. For more information, see Set or Clear a QC Flag for Selected Documents.
-
Sort the selected column field in ascending or descending
order and modify existing fields. For more information, see Modify Columns and Column Fields in the Documents Window.
- Open the Output directory for a document. For more information, see Open the Output Directory for the Selected Document.
-
Close a session. For more information, see Close a Session or Search Tab.
Documents Toolbar
The Documents toolbar, located in the Documents window, can be
used to navigate through the Documents list and simultaneously display
the selected item in the Image View area. Click here to view a table that describes each of the buttons on the Documents toolbar.

displayed in the session’s table are searched. If you see a
message “Search Term Not Found", then most likely the metadata fields
that contain this information are not in the current session’s table
of metadata fields.
|
|
|
Alternately, F3 to find the next occurrence
of the text entered in the Find Document dialog box.
|
|
Refresh the list of items using the last query.

When you initially create a session for a Processing Job or Data Extract Job, you have the option to create more than one. For each session you create, a corresponding tab exists with the conditions you selected. For example, you may have selected the Category Microsoft Word, and then chosen the Passed QC flag. When you mouse over the session tab, it will show this information. When you right-click a session tab, a context menu appears.
On the right-click context menu, you can :
- Search through a session's, Job, Custodian, or Case (Project) and refine your search. For more information, see Conduct a Session Search.
- Sort the column fields. For more information, see Modify Columns and Column Fields in the Documents Window.
- Close the session. For more information, see Close a Session or Search Tab.
- Create Export Sets. For more information, see Create an Export Set.
The QC Flags are located in the Flags pane on the right side of the interface. The Flags pane contains
a list of the existing QC flags and makes it easy to select a QC
flag for an extremely large set of documents at once without impeding
performance.
For more information, see Work with the QC Flags Window.
In the Metadata and Extracted Text/OCR pane, you can view metadata for a selected document as well as the OCR text extracted for the document.
Metadata Tab
The Metadata tab displays
the Process Status field, which indicates the status of the QCed item.
Extracted Text Tab
The Extracted Text/OCR tab displays the OCR text for the selected document.
|
Note: The Extracted Text/OCR tab is not available for Cloud Imaging Jobs.
|
The QC Options dialog box allows you to save the QC layout to an INI file or load a previously-saved layout. Saving settings and loading settings allows for consistency when QCing
is performed by several QCers.
For more information about saving QC Options, see Save QC Options to an INI File.
